Workflow Secrets

The next chapter in real estate systems

You may know Mark’s earlier work. See what he built next.

You may know Mark Stepp from AdvantageXI by Mark-It-Systems, Realvolve, workflow automation, training, or simply from seeing his name around real estate technology over the years.

After more than 36 years of building systems with agents and teams, Mark and Cody Stepp started over—building SAM from the ground up for a world where your software can understand the business, help determine what should happen next, and carry the work forward without taking the relationship away from you.

Book Your Founder-Led Systems Review

Where you may know Mark from

AdvantageXI by Mark-It-Systems. Realvolve. Workflow automation. Training. Implementation. Decades of working directly with agents and teams.

However you first encountered Mark’s work, SAM is the next chapter.

Mark has spent decades building real estate systems. SAM is the system he wanted to build next.

Traditional CRM and workflow technology solved meaningful problems. It helped agents organize information, standardize processes, and automate planned steps.

But the agent was still the engine.

You still had to understand the complete situation, decide what the information meant, connect the tools, initiate the work, maintain the automation, and remember what needed attention next.

Modern AI created the opportunity to approach that problem differently.

The problem was never your work ethic

Your software may hold the information. You are still holding the system together.

Most established agents already have technology.

You may have a CRM, transaction platform, calendar, email, text messaging, lead sources, spreadsheets, automations, templates, and an assortment of tools that work well enough on their own.

The problem is what still happens between them.

You read the conversation. You remember the promise. You decide what changed. You determine the next step. You open the right tool. You create the task. You update the record. You write the message. You check whether anyone followed through.

When all of those decisions still depend on you, more software does not automatically create a stronger system.

An insight that leaves you with five more steps is still manual work wearing a smarter outfit.

SAM was built to reduce the gap between knowing and doing.

It brings your contacts, conversations, properties, listings, transactions, dates, communications, and Routines into one connected environment—so what your business knows can help create the next right action.

One connected operating loop

SAM knows what is happening, knows what it can do about it, and helps carry the work forward.

SAM has awareness across two dimensions:

  • Business awareness: the people, conversations, preferences, properties, dates, commitments, content, processes, and history inside your business.
  • System awareness: what it can search, create, update, schedule, communicate, automate, or place in front of you for review.

That creates a connected operating loop.

  1. Context

    SAM understands the people, conversations, properties, dates, objectives, and processes connected to the moment. You do not have to reconstruct the complete story from memory and scattered tabs.

  2. Decision

    SAM uses that context to identify or help determine the appropriate next step. Information becomes direction instead of another item for you to interpret later.

  3. Action

    SAM prepares or performs the work through connected tools, with approval controls where needed. Follow-up, tasks, messages, updates, and coordination begin moving while you remain appropriately in control.

  4. System

    SAM connects the action to an ongoing Routine, workflow, record, follow-up plan, or business process. Progress does not end as a one-time task. The business keeps moving.

The goal is not more automation for its own sake. The goal is a business that responds consistently when something important happens.

Sell the result, not the feature

When the date changes, the system should change with it.

A contract milestone moves.

In a traditional setup, the date may change in one place while the rest of the operating plan stays attached to the old reality.

Now the agent has to find every task, message, reminder, calendar event, client update, team handoff, and deadline that may be affected.

That is not a calendar problem. It is a continuity problem.

  1. 1. Context

    SAM understands the transaction, the people involved, the changed date, the connected activities, and the Routine attached to that milestone.

  2. 2. Decision

    The change may affect communications, tasks, deadlines, or responsibilities that should move with it.

  3. 3. Action

    SAM helps update or prepare the affected work and places client-facing communication where the agent can review it.

  4. 4. System

    The transaction process continues from the new reality instead of remaining tied to the old date.

The agent does not stop everything else to reconstruct the plan. The system adjusts, the client stays informed, and the business keeps moving.

You do not have to start over

Moving systems should protect the business you already built.

Experienced agents are not migrating an empty database.

You may have years of contacts, notes, tags, dates, templates, workflows, listings, transactions, past-client plans, team processes, and hard-won business knowledge inside your current tools.

That work matters.

A successful move is not simply a matter of placing names and phone numbers into a new system. It requires understanding what should move, what needs cleaning, what should be preserved, what should be rebuilt, and how the business keeps following through during the transition.

  1. 1. Understand what you have

    We begin with the system you use today, the data available, the processes your business depends on, and the work you cannot afford to lose.

  2. 2. Identify what matters

    Contacts may be only one part of the move. We look at the notes, tags, dates, templates, workflows, listings, transactions, follow-up plans, and operating context that give the database value.

  3. 3. Decide what should move

    Some information should transfer directly. Some may need cleaning. Some processes may be better rebuilt inside SAM rather than recreated exactly as they exist today.

  4. 4. Build continuity

    The goal is to get the first core systems working so lead response, client communication, and operational follow-through do not disappear while the transition is underway.

  5. 5. Choose the appropriate support

    The right migration path depends on the current platform, data structure, business complexity, and desired level of help. Mark or Cody can help identify the practical path during the Systems Review.

Whether your business currently runs through Realvolve, AdvantageXI, Follow Up Boss, Command, BoldTrail, another CRM, or a collection of spreadsheets and disconnected tools, bring that context with you. We will help you understand the questions that should be answered before you make a move.

Migration options vary by platform, available exports, data quality, integrations, and the systems you need to preserve. We will not promise a one-click transfer before we understand what your business requires.

You should not have to gamble your business continuity to evaluate a better system.

Bring us:

  • the platform you use now;
  • the data or processes you are worried about losing;
  • one system you need operating first.

We will help you map the next step.

One hour, built around your business

Bring us the system you have. Leave with a clearer path forward.

This is not a canned feature presentation.

Mark or Cody will use the meeting to understand how your business works today, where the system still depends on you, and what a stronger operating model could look like inside SAM.

Before the meeting

When you schedule, we will ask:

  • where you know Mark’s work from;
  • what system you use today;
  • what part of the business still depends too heavily on you.

During the meeting

  1. Review your current stack and operating context.
  2. Identify one recurring bottleneck, workflow, or client journey.
  3. Map the Context → Decision → Action → System behind it.
  4. Show the relevant SAM experience.
  5. Discuss what migration or setup could require.
  6. Recommend the next practical step when there is a fit.

After the meeting

You should leave knowing:

  • what problem should be solved first;
  • what information and processes matter most;
  • what SAM could change;
  • what a move would involve;
  • whether a trial, subscription, Co-Pilot, concierge setup, or another path makes sense.
You will receive an honest recommendation. The goal is not to force SAM into a business where it does not fit. The goal is to help you make a better systems decision.

Trust built over time. Results built in the business.

Agents do not need another impressive feature list. They need the work to become easier, safer, and more consistent.

We are VERY excited to be back with the great wizard of real estate himself, Mark Stepp, and we get a bonus Stepp this time, Cody! You've got some exciting things in this software. Looking forward to working under the hood.

Built with agents, not guessed from the outside

Decades of real estate systems experience. A new system built from the ground up.

Mark Stepp speaking at a live Workflow Secrets event

Mark Stepp

Co-Founder, CTO & Lead Systems Architect

For more than 36 years, Mark has worked alongside real estate professionals to understand how agents build relationships, manage transactions, generate business, and keep work from falling through the cracks.

Long before AI became part of everyday software marketing, Mark was designing CRM platforms, workflow engines, and automation systems for real estate.

SAM brings that experience into an AI-native system designed to understand context, help determine the next action, and carry the work forward.

Cody Stepp presenting at a live Workflow Secrets event

Cody Stepp

Co-Founder & CEO

Cody brings a second-generation view of real estate technology and experience across customer support, training, sales, marketing, product direction, AI adoption, and business systems.

Together, Mark and Cody combine the practical lessons of earlier CRM generations with a modern platform built around how agents actually work: in motion, through relationships, and under constant demand.

SAM is not another company guessing at the business from the outside. It is the result of what Mark and Cody have learned by building with agents and teams across multiple generations of real estate technology.

Show us the system you are using now.

Bring one recurring process, workflow, client journey, or migration concern. Mark or Cody will help you identify what should be preserved, what should be rebuilt, and how SAM could help your business carry the next right action forward.

Straight answers before we meet

You may know what Mark built before. Bring us what you need your system to do next.

Your business should not depend on you remembering every promise, connecting every tool, rebuilding every plan, and manually starting every next step. Bring Mark or Cody one part of the business that still depends too heavily on you. We will help you map the system behind it, show you what SAM could change, and talk honestly about what moving forward would require.
