Keeping track of documents can be a daunting task. With SAM's latest enhancement, the File Tagger, managing your documents becomes simpler and more efficient. Here's how this feature can significantly improve your workflow.
Setup: Customizing Your Document Management
The File Tagger allows you to create tailored groups of documents for Contacts, Properties, Listings, Transactions, or Projects. Here’s how to get started:
- Access the File Tag Groups under Menu Options in the Setup section.
- Select the type of record you want to configure.
- Choose from existing groups like Listing Documents or Closing Documents, or create your own.
- Label each group, and define slots for specific documents like Signed Contracts or Inspections.
- Prioritize slots by dragging them to reorder, marking important documents as Required.
- Set Typical counts for slots where you usually have multiple files, like several listing photos.
- Designate one group as the default for an efficient tagging experience.
Using the File Tagger: A Practical Guide
Once your groups are set up, navigating the File Tagger is straightforward:
- In any Files tab, click on Expand for a larger view, and then select Tagger to open the tagging workspace.
- Choose your desired tag group from the dropdown menu; this determines which slots you'll be working with.
- To tag a document, simply drag it into the corresponding slot, or select the file and click the slot.
- Files can belong in multiple categories, allowing for flexible organization.
- Keep track of your tagging progress: a red border indicates a missing required document, amber shows some but not the usual count, green means you are at or above the typical count, and gray indicates an optional slot is empty.
- Utilize filters on the left to focus on untagged files or those not in the current group.
- You can preview files easily and upload documents directly into slots.
The best part? Once you finish tagging, the Files list updates automatically, streamlining your workflow and saving you time.
